Travel Coordinator

JOB DESCRIPTION

 

Position Summary

The Travel Coordinator is responsible for ensuring all travel requirements are promptly met by delivering key project variables related to all aspects of travel management. Responsible for processing ticketing for customers and assisting clients in finding their ideal destinations, matching them with suitable vacation spots, and providing a list of activities to enhance their travel experience.​

Essential Duties and Responsibilities

  • Working closely with the Travel Management Company to organise travel, hotels, ferries and car hire reservations ensuring the best route and quote is taken

  • Provide clients with the ideal travel routes utilizing the ticketing system

  • Cooperating with clients to determine their needs and advising them appropriate destination, modes of transportations, travel dates, costs and accommodations

  • Issuing in depth itineraries to all travelers

  • Providing relevant information, brochures and publications (guides, local customs, maps, regulations, events etc.) to travelers

  • Using promotional techniques to sell itinerary tour packages. Advising travellers of the security and safety situation at the country of destination

  • Issuing travellers with in-country guides as and when required

  • Advising travellers of meet and greet information when required

  • Responsible for distribution of all supporting travel materials for each booking made

  • Network with tour operators

  • Maintain statistical and financial record

  • Be available when necessary for 24/7 emergency on call support

  • Updating database with correct personal details and billing information

  • Invoicing customers for due payments

  • Any other duties as assigned

Required Qualifications and Skills

  • Support quality, efficiency and customer satisfaction

  • Execute work safely and reliably and to a quality standard

  • Excellent interpersonal skills

  • Experience of MS Word, Excel and Outlook

  • Corporate or Business Travel Background

  • Use of on-line booking tools

  • Excellent administration skills

  • One additional language (French, Spanish) preferred

Education and Experience Requirements

  • High school diploma or general education degree required

  • 2-3 years of relevant experience in an office environment

  • Experience of destination planning travel and programming essential

  • Familiar with invoicing and financial responsibilities preferred
